We have a busy agenda to meet every day. Completing our tasks on time and, if possible, getting a few more is always gratefully appreciated. The more we can get ‘done’ for the same price and time, the better.
Quality results, on the other hand, may have something different to say despite the quantity achieved.
Keeping an eye on the number of tasks or activities we can complete works fine when we are responsible for repetitive and static functions with the same or similar expected results or trying to become more effective in our processes. In other words, ensuring we produce the intended result every time. But when we are required to focus on optimizing the usage of our resources, it is not only on timing challenges where we need to look for these improvements.
We must be both effective and efficient in how we perform those tasks. Since these are two very different concepts, the goals we set and the metrics we look for are also very different.
That doesn’t mean we need to stop looking at our velocity results if we are pursuing performance improvements, but it may not be the right metric or the only one to look at.
The number of tasks completed could help us establish a parameter for effectiveness and help us as a metric for process improvements, e.g., reducing waste steps.
On the other hand, comparing completed actions against the amount of rework could help us identify how efficient our process is or how well we use our resources based on the results we generate despite the number of actions completed.
To ensure good performance, we do not need a complex/ overloaded system or a fast workflow; we just need to take more accurate steps and make more valuable decisions.
We must ensure we are examining the right metric for the right reason.
